The Manager of Conflicts and New Business Intake is responsible for developing and executing all Firm policies and procedures relating to Conflicts and New Business Intake. The Manager works closely with the General Counsel, the Chief Operating Officer, Practice Group Leaders, and attorneys within the Firm to facilitate Firm growth while implementing appropriate risk management measures and best practices. As a member of the Firm’s Leadership Team, the Manager of Conflicts and New Business Intake must also collaborate effectively with members of all departments.
ESSENTIAL JOB FUNCTIONS (Including, but not limited to):
- Provides management, supervision, and guidance to all Conflicts and New Business Intake team members to ensure consist application of Firm policies and procedures associated with Conflicts and New Business Intake and Lateral Hiring Due Diligence.
- Hires, trains, and provides ongoing and annual performance review for all Conflicts and New Business Intake team members. Provides leadership, mentorship, and management of team performance, including setting clear goals, supporting a customer service focused approach, identifying development needs and fostering a culture of continuous learning for Conflicts and New Business Intake team members.
- In conjunction with the General Counsel, monitors changes in laws and regulations related to the Rules of Professional Conduct and legal ethics generally, and adapting practices to ensure the Firm's compliance with all applicable ethical standards and requirements while supporting Firm growth.
- Anticipates, identifies, communicates, and offers solutions for potential risks and challenges related to, and impacting, Conflicts, New Business Intake initiatives and potential Lateral Hire transitions.
- Leads the development and administration of all Conflicts and New Business Intake processes, including managing critical operations, existing, and upcoming technologies.
- Use and train on file opening process (currently using Intapp software). Also serves as the Firm’s primary liaison to vendors and suppliers of relevant Conflicts and New Business Intake technologies and products.
- Works closely with the General Counsel to develop and execute policies and procedures relating to conflicts, client engagement, new business intake, and Lateral Hire Due Diligence, ensuring alignment with both the Firm’s Strategic Plan and best practices in risk management.
- Oversees the conflicts identification and resolution process for all new and returning employees, including new Attorneys, lateral Attorneys, and Business Professionals.
- Oversees the design, development, testing, and enhancement of work flows and databases pertaining to conflict review and analysis and new business intake procedures.
- Assists the General Counsel with reviewing, tracking, and ensuring compliance with client-prepared engagement letters, including Outside Counsel Guidelines.
- Develops strong working relationships with Attorneys, Legal Assistants, and Business Professionals across the Firm.
- Provides New Hire Orientation and ongoing role-appropriate training in Conflicts and New Business Intake policies and procedures to all Attorneys and Business Professionals.
- Drives continuous improvement by regularly assessing current processes, identifying opportunities and implementing enhancements to optimize performance.

QUALIFICATIONS, REQUIRED:
- Bachelor’s or other degree required. Advanced degree or Juris Doctor (JD) degree preferred.
- Minimum of three years of experience in a leadership or management role in conflicts, intake, or risk management within a law firm or legal environment.
- Minimum of five years of experience in conflicts, new business intake, or risk management within a law firm of legal environment.
- Must have the ability to prioritize and handle multiple projects at once while meeting deadlines and to work in a fast-paced environment with minimal supervision.
- Excellent analytical skills, attention to detail, strong communication ability and proficiency in using specialized software for conflicts and new business intake are critical.
- Experience with the following software: MS Office.
- Excellent grammar, proofreading skills, and a keen eye for detail, ensuring high levels of accuracy in all written communications and document preparation.
- Ability to organize, prioritize, and manage multiple tasks effectively, ensuring completion of assignments despite frequent interruptions and changes in schedule.
QUALIFICATIONS, PREFERRED:
- Significant experience with, and proficiency in using Intapp software (e.g., for work flows and databases), and related law firm software solutions is strongly preferred.
- Proficiency in file opening software , Word, Excel, Outlook, PowerPoint, and iManage is beneficial.
- Strong research skills and familiarity with database maintenance and management a plus.
- The proven ability to learn new software applications quickly is also strongly desired.
- Experience with 3E or Elite accounting software also a plus.
- Experience in providing administrative support functions.
SALARY & BENEFITS
Competitive base salary commensurate with experience: $90,000 - $135,000 annually.
Posted salary ranges are made in good faith. Winthrop & Weinstine reserves the right to adjust ranges depending on the experience/qualifications of the selected candidate as well as internal and external equity.
